Can book unlimited spaces

If this permission is not granted, the role will be limited to book one space type for a certain period of time. For example:

  • ✅ They can book a desk for the day and a meeting room for any time during that day.
  • ❌ But they cannot book two meeting rooms where bookings have overlapping time slots. They cannot book two desks for the same time, too.
API.Bookings.IgnoreMinMaxDuration Can ignore duration limitations set in the booking policy
API.Bookings.IgnoreTimeHorizon
Can ignore limitations of booking time horizon
API.Bookings.IgnoreRecurrenceLimitsInPolicy Can create more recurrent booking events than allowed by the initially selected space. The hard limit is the Recurrence.Limit building parameter.

✅ From the Schedule View, you can:

  • Create a new booking in available slots.
  • Select an existing booking to edit or cancel it.
  • Amend existing booking data by clicking the booking without interrupting the management workflow.
  • Swap bookings to a different host or similar room, allowing for reallocation and modification of user bookings.

❌ In the Schedule View, you cannot:

  • Create a new meeting by selecting the whole needed time range. For this, refer to the procedure of creating a new booking that is described below.
  • Move meetings by dragging and dropping them across the table. For this, refer to the procedure of editing an existing booking that is described below.
  • Copy and paste a meeting. Open an existing meeting and create a new one with the same details instead.

The bookings that you see can have different statuses with the following colour codes:

  • Grey outlined – meetings that have already happened
  • Grey filled – cancelled or autocancelled bookings
  • Blue – no show
  • Yellow – in progress
  • Green – booked and approved
  • Red – pending approval
  • Black – everything else

Depending on the date selected and the applied filter options, you will see a set of spaces in columns: their availability and existing bookings in those spaces.

By default, the table shows bookings for today, on your preferred floor that is set in Settings > Preferences.

Use the filter to view meeting rooms with the following criteria:

  1. Floor. Select a floor where you want to search for a space.
  2. Zones
  3. Work Type
  4. Space Type
  5. Capacity. Indicate how big the space you are looking for.
⚠️ Users with the API.Bookings.UnlimitedCapacity permission can override the space capacity. It means that they can add more attendees to the booking beyond the capacity value. A corresponding warning message will prompt users to use this permission carefully.
  6. Additional services: catering, resources, events, hearing aids.

Spaces bookings with maintenance slots around them

For the bookings of linked spaces or spaces with furniture layouts, you will see three booking slots next to each other:

  • The actual meeting
  • Two accompanying bookings before and after it to accommodate for setup and reset time.
Note: The host of such meeting sees just their space booking that's marked as Main and is in the middle.

Operational teams can cancel maintenance slots if they aren't needed.
