Linked space bookings require operational team to setup spaces and layout before the meeting and reset spaces to their original layouts after the meeting. Spaces that are involved in the booking have to be reserved before and after the linked space booking for that purpose.
Read more about booking a linked space here: Booking linked spaces in Flex.
There are two scenarios that affect work of operational teams in this matter:
- If linked spaces are booked using the Advanced Booking page in Flex, setup and reset slots are automatically created for the operational team:
- Spaces are then reserved for setup and reset activities.
- These setup and reset slots share the same booking name as the linked space booking, but with the Setup or Reset prefix.
- Floor Manager is set as host for such setup and reset bookings.
- Floor Manager will see these bookings on their page My Schedule.
- If linked spaces are booked through other apps (Roamer, Inspire, or Unity) or other pages in Flex (Single Booking), setup and reset slots are not created automatically for the involved spaces.
⚠️ In this case, Floor Manager, who is notified about every linked space booking, should create necessary maintenance slots for the involved spaces. Then, the operational team will be able to prepare the spaces and their layout for the meeting and clean up and reset them after the linked space booking.
