Applies to app version 2026.02 onwards

The Space Layout page is designed to allow organisations to create and control unusual space configurations and furniture layout options, ensuring efficient setup and reset processes for different events or bookings.

On this page, admin teams can dynamically:

  • Add new or edit existing furniture layouts to the spaces.
  • Link adjacent spaces that can be then booked together and set furniture layouts there.
  • Unlink spaces when something changes in the building.

Creating a linked space configuration

For every linked spaces configuration, create separate layouts for all individual spaces that are involved. This is important to ensure that the spaces are bookable individually as well as a set of linked spaces.

To create a linked spaces configuration:

  1. On the Space Layouts page, select two or more adjacent spaces that you'd like to link together. Use the Floor, Space Type, or Zone filters to find needed spaces.
  2. In the panel that appears on top of the page, fill in the following fields:
    1. Linked space name
    2. Layout Name for furniture layout in the linked space. A linked space option must have at least one furniture layout.
    3. Space Capacity that can be a combined capacity of both spaces or a completely new number.
    4. Setup Time (in Minutes). The corresponding time slot will be booked automatically with the linked space booking to allow time in advance to set up the linked space and furniture layout.
    5. Reset Time (in Minutes). The corresponding time slot will be booked automatically with the linked space booking to allow time after the booking has happened to return the linked space and furniture layout to their default state.
⚠️ Note that users won't be able to book a linked space if there's not sufficient time for Setup and Reset slots.
  3. (optional) Click View on Map to make sure that you have selected the spaces that can actually be linked and used as one.
  4. Confirm by clicking Create Linked Space.
  5. Click Refresh cache in the top right corner of the spaces table for the changes to take effect and for your organisation to start using the layout that you created.

Creating a furniture layout

There must be at least one layout in the linked space. Or a separate single space can have multiple furniture layouts.

To create a furniture layout:

  1. Select one space where you'd like to add furniture layout to. Click its row in the table.
  2. On the new page, click In the panel on the right, click + Create Layout.
  3. Fill in the fields in the popup that appears. Layout Name should be clear to users about the furniture layout in the space.
  4. Pick Space Capacity.
  5. Define Setup Time (in Minutes)
  6. Define Reset Time (in Minutes)
  7. Confirm by clicking Add Layout.
  8. When you are finished adding needed layouts for the selected space, click Save.
  9. On the main Space Layouts page, click Refresh cache in the top right corner of the spaces table.

Now, your organisation can start using the layout that you created for the space. They will be able to search and book based on Space Class permissions that they have assigned for their roles.
