Conditions for the Search

The spaces that are included in the search results depend on these conditions

• The booking type of the space
• If the search is for now or for some time in the future
• And for unbookable spaces whether or occupancy sensors are installed

The three different booking types in IBSS are:

• Unbookable spaces: these spaces cannot be booked by anyone 
• Bookable spaces: these spaces can be booked for today or for some date in the future
• Reservable spaces: these spaces can only be reserved from right now until the end of the day

Depending on the location from where the Roamer floor map is opened, determines if the search is for now or for some time in the future

• When opened from the View building map card on the home page, the search will include a time component, which by default is set to be now to now + 1 hour. 
• When opened from the structured search pages, the search will include the time frame the user choses (e.g. now, some time later today, some time at a later date).
• When opened from shortcuts in the KPI card on the home page, the exact search criteria can be defined individually for each shortcuts, and can include filters by booking type, space class, class type and others, and could optionally include a time component.

How far a search is in the future affects the inclusion of the unbookable spaces with an occupancy monitor, if the search is beyond the configured Expiry period (e.g. 15 minutes) you cannot know if a space is still occupied (as people may have left), as such it will assume that unbookable spaces are always available after the expiry period.

The presence of occupancy sensors only materially effects the unbookable spaces as far as the search results is concerned. Whether or not someone is sitting at the desk or is in the room makes no difference to the search results for bookable and reservable spaces.

Included Spaces

Spaces that are included in the search results will be shown as green when viewed as a map, spaces that are not included in the search results will be shown as black/dark grey when viewed as a map.

The following table provides the rules for when spaces are included in the search:

• All spaces of all booking types (Bookable, Reservable or Unbookable) with a capacity of zero will excluded from the search results 
• All Unbookable Spaces in without Occupancy Sensors will always be included
• All Unbookable Spaces in with Occupancy Sensors and where the start time is beyond the configured Expiry Period (e.g. 15 minutes) will be included
• All Unbookable Spaces in with Occupancy Sensors where the start time is before the configured Expiry Period (e.g. 15 minutes) and the Occupancy is lower than the Capacity will be included
• All Bookable or Reservable spaces without a booking/reservation for the specified time/date will be included
