Available with app version 2025.03 onwards.
With the relevant permission (ADMINPORTAL.PortfolioSetup.TaskCategories), you can define main categories for tasks per space type. This is the starting point to set up Task Management in IBSS for your organisation.
After task categories are set up, create task types for your users to be able to select them when raising an issue for a space. View more details here: Task Types in Admin Portal
On the Task Category page, you can control existing task categories:
- Enable
- Disable
- Delete
Click the row of the needed task category to edit it. Category name and ID are non-editable after they are created.
Creating a Task Category
Depending on what's available in your building and what service your users can expect in the space as well as depending on what responsibilities do the maintenance teams have for the space, create task categories accordingly:
- On the Task Category page, click +ADD. An Add New Category popup opens.
- Define Category Name that users will select when raising an issue with the space. The name cannot be changed after you save the category.
- Select the Space Type to assign this Task Category to.
- Select Equipment Type
- Turn Category on or off by switching the Enable Category toggle
- Select image to later support users visually when they create a task (currently reserved for future functionality).
- Click Save.
Your new task category is now listed on the Task Categories page for the selected building. If your have enabled it and added task types or at least an option to raise a free-form task, your users are now able to select this category from Flex, Roamer X, or Unity.
