The following additions come with new releases:

  • 2026.01: 
    • The Find a colleague page has team view for Team Managers and Team Leaders
    • The Colleagues section has the new Schedule page
 

The Colleagues section is the dedicated space to look up your colleague's schedule and view how your team plans to visit the office on any selected day.

Colleagues page

In Flex, you have a separate menu item for colleague finding within your organisation. You can use it to book next to the selected colleagues or organise your work accordingly.

On the Colleagues page, you can:

  • Search for a colleague
    ⚠️ Note: You are able to find only those colleagues who have enabled their location sharing in Flex or Roamer so that their bookings are visible to others in your organisation.
  • Or manage teams if you have relevant permissions.

Colleague Search

To search for a colleague:

  • Start typing at least three characters of the name or email address of a colleague.
  • See a list of people associated to the name who have opted in to location sharing.
  • Click the View link next to colleague name
  • Here, you'll see the popup with two sections:
    • Left-hand side is a calendar date selector. Select a date to view future bookings where the selected colleague is the host. The dark blue circle indicates the day that you selected.
    • Right-hand side is a list of booking associated to your colleague.
  • Click OK or close the popup to exit viewing booking details of your colleague.

With this information, you can now book next to your colleague or meet them before or after their scheduled appointments as you'll know where to find them in the building.

Team Management

Team functionality in IBSS improves collaboration and streamlines space booking process for everyone on the team to sit nearby and work together. There are three roles in the concept:

  • A team manager and owner
  • A team lead
  • Team members

If you are a team manager or a team lead who was manually appointed in IBSS, you will have the following options on this page:

  • Create a new team:
    • Click Create New Team
    • Add a unique name to it
    • Confirm with tick icon
  • Rename or delete a team
    • Click the three-dot menu next to the team name
    • Select relevant option to rename or delete the team
  • Add or remove team members
    • To add a team member, search for a colleague to add to the team
    • Click the Add link next to their name in the search results table
    • In the popup, select which team(s) to add them to
    • Click Confirm
  • Appoint a team lead who will be able to manage team bookings:
    • Click the three-dot menu next to the team name
    • Select Edit Team
    • In the popup, select one or more team members to be Team Leads

Schedule page

Allows viewing planned schedules of colleagues and team members. The options are:

  • Remote
  • Office
  • Out of office
