Maintaining a Resource Store for a Building

In Admin Portal > Manage > Resources section, you as an admin can configure multiple resource stores within a building. The user requires the following permissions to manage resources for the organisation:

  • DATAMODEL Equipment CRUD
  • API.Equipment.Enable (with building permission)
  • API.Equipment.Disable (with building permission)
  • API.Equipment.V2 (with building permission)
  • All necessary permissions to create and modify spaces

The following options are available:

  • Define and maintain associations between resources, stores, and spaces where these resources can be booked.
  • Create as many stores as needed.
  • Create as many resource items belonging to one of the stores as needed.
  • Assign stores to bookable spaces where the resources will be delivered to. Stores can be assigned to as many spaces as needed.

The goal is to optimise/update operational workflows and ensure resources are accessible where needed or new resource is added and old resource removed.

How it works

To enable bookable resources in spaces, do the following:

  1. Define a space that will serve as a Resource Store.
  2. Assign bookable spaces to the Resource Store.
  3. Enable resources in the same bookable spaces.
  4. Create Resource Items and assign Resource Items to the relevant Resource Store.

Defining a space that will serve as a Resource Store

The space of the building must be set up as follows:

  1. Amenity for Space Class.
  2. Equipment Room for Space Type.
  3. EquipmentRoom for Space Type Label.
  4. You can restrict the space to be non-bookable.

Once the space is set up, it will appear on the Resource > Stores page.

Assigning spaces to the Resource Store

  1. Under Admin Portal > Manage > Resources > Stores, select the store and click Update in the Assigned Spaces column.
  2. Select bookable spaces that will allow booking resources from this store after the space booking. Typically, these are meeting rooms.
  3. Click Save.

Spaces that you've just assigned to a Resource Store should also have the resources options enabled as in this example:

Creating Resource Items

On the Admin Portal > Manage > Resources > Items page, create a resource item:

  1. Click +ADD.
  2. Fill in the fields for an item in the panel that opens, where:
    1. You will assign the Resource Item to the relevant Resource Store.
    2. Set the item to be active or inactive.
      Inactive item won't be available for booking.
