Room Control Mode Options (Inside)

The Unity application runs in 2 modes:

  • Room Booking Mode which is built to operate outside meeting rooms
  • Room Control Mode which is built to operate inside meeting rooms

Room Control Mode provides an intuitive integrated control location for all aspects of the space.

⚠️ Tabs that are available inside the meeting room tablets depend on the organisation settings and corresponding integrations.

Home tab

The home tab is the default page that Unity Room Control Mode will start at. This is also the page that the app will default back to after a period of inactivity when on the other tabs. It shows now and next meeting information.

When there's no current meeting, you can scan the QR code with the IBSS Roamer app for a touch-free booking experience.

You can check what booking policy is applied to this space. For this, click the blue information icon next to the room name. In the pop-up, you'll see the limitations and conditions that apply for booking this space.

Before the scheduled meeting, you'll be able to check in to your booking. If the space is available, you'll have an option for an early check-in.

When there is an active booking, the countdown timer will show. The colour of the countdown ring will change depending on the organisation settings. When a booking reaches a certain (configurable) time before the end, the countdown ring will change colour to amber, and then to red to provide a subtle visual indication of the booking status to the occupants inside the meeting room.

The +15 MINS and +30 MINS buttons allow you to extend your meeting if the space is available. 

If Unity is set up to represent a Microsoft 365 resource, the option to extend a meeting will not be displayed, even if the space is available.

 

Check out from the meeting when it is finished to release the space for further bookings.

Schedule tab

The schedule tab provides a 7-day view of the availability of the space. The timeline also shows slots that are not available for booking. There are visually distinctive statuses:

  • Excluded dates are red
  • Disabled times are grey
  • Available times are green

Temperature tab

Depending on the organisation settings and the availability of this integration, the Unity app can also provide control of the temperature in the space.

Lighting tab

Depending on the organisation settings and the availability of this integration, the Unity app can also provide control of the lighting scenes in the space.

Blinds tab

Depending on the organisation settings and the availability of this integration, the Unity app can provide control of the blinds in the space.

AV/IT tab

Depending on the organisation settings and the availability of this integration, the Unity app can also provide control of the AV/IT in the space.

Catering tab

Depending on the organisation settings, the Unity app can also provide management options for in-room catering requests. If available, you will see the associated catering menu and be able to order these items. Tap the Clear room button to generate a service request to clear the catering.

⚠️ If the environment of your organisation is upgraded to the version 2023.02, catering won't be available on Unity tablets until further updates.

Room Info tab

Depending on the organisation settings, the Unity app can also provide space information specific to the space. This is typically used to share information about the AV/IT capabilities of the space, general fire safety, or any other relevant information about the meeting room.

Service Requests tab

If you're dealing with some issues with the room, raise a service request under Service Requests for the responsible team to handle it. Task categories are set up per organisation and may include: general tasks, clean tasks, catering, lighting, comfort, etc.

The view under the Service Requests tab lists active requests if there are any raised previously and not yet completed.

Task categories can be split in various task types depending on your organisation settings.

Select the applicable task and click Submit Request to notify the responsible team about the issue.
