Advanced Booking in Flex − Booking for your team

Team functionality is designed to facilitate team collaboration in the office by booking nearby spaces for the team and manage those bookings in bulk. This way, we've enabled the easier process of creating multiple bookings at once, managing them as needed, assigning adjacent spaces to members of one team, and checking the bookings in for smooth collaboration.

⚠️ Team bookings are restricted to be on the same floor. When switching between floors, the previous selection gets cleared.

Booking for a team

If you are part of a team as a Team Manager or a Team Leader, you can book for your team. For this:

  1. On the Advanced Booking page in Flex, select your team in the Booking Owner dropdown.
  2. The new Team location summary dropdown appears for you to check where your team has planned their work location to be on the selected day.
  3. Check if you are keeping your default building, floor, and zone as the booking location.
  4. You can book only Desks as a Space Type for your team. The space must be bookable with the capacity for 1 person.
    You can decrease number of seats that are required. Maximum number of seats is the number of people on the team.
  5. Check the Date and time when you need bookings for all.
  6. Click Search to find available spaces for your criteria.
  7. The floor map is displayed with available spaces marked in navy blue. Select the required number of spaces for your team members. All spaces must be within one floor. Switching between floors clear the previously selected spaces.
  8. Add a Booking Name.
  9. (optional) You can add a Booking Description to give your team more information about these bookings that they will receive.
  10. Continue by clicking Assign Spaces.
  11. A new page opens where you assign spaces to team members. You can use the Booked For dropdowns or the Randomly assign spaces button.
  12. Confirm space bookings by clicking Save.

Space bookings for your team are then processed in the background. Your team members will receive corresponding notifications once the booking is successfully completed.

Modifying team bookings

The bookings that you created for your team are normal space bookings that can be managed by you or by team members for themselves. You as a Team Manager or a Team Leader can:

  1. Find your set of team bookings on the Schedule > My Bookings page. Team bookings are marked with the “team discussion” icon.
  2. Open the booking set and adjust it in one of the following ways:
    1. Edit Booking Name or Booking Description.
    2. Add spaces for team members if you booked less than your number of team members. Click the Add button on top of the team bookings table.
    3. Edit each booking individually.
    4. Delete all bookings for the team by clicking Delete full booking.
